Sonoshare ("Sonoshare," "we," "us," or "our") respects your privacy and is committed to protecting your personal information. This Privacy Policy describes how we collect, use, store, and protect information when you interact with our website, platform, and related services (collectively, the "Services").

Our Services are designed for two types of users: ultrasound studio operators and their staff ("Studios") and the clients and families who receive sonogram media through our platform ("Clients"). This policy applies to both.

Information We Collect

Information You Provide

We collect information you voluntarily provide when you use the Services, including:

  • Account information: Name, email address, phone number, and studio business details when you create an account or are added to the platform by a Studio.
  • Media files: Sonogram images and videos uploaded by Studios on behalf of their clients.
  • Communications: Information you provide when you contact us, submit a demo request, or respond to surveys.
  • Payment information: Billing details provided by Studios for subscription payments, processed securely by our third-party payment processor. We do not store full payment card numbers on our servers.

Information Collected Automatically

When you use the Services, we may automatically collect:

  • Device type, browser type, and operating system
  • IP address and approximate geographic location
  • Pages visited, features used, and session duration
  • Referring URL and search terms used to find our site

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Services
  • Process and deliver sonogram media between Studios and Clients
  • Send notifications when new media is available (via SMS or email)
  • Authenticate users and protect account security
  • Process Studio subscription payments
  • Respond to inquiries and provide customer support
  • Analyze usage patterns to improve the platform
  • Comply with legal obligations, including HIPAA requirements

How We Share Your Information

We do not sell your personal information. We do not display advertisements on the Services. We may share information in the following limited circumstances:

  • Between Studios and Clients: When a Studio uploads media for a Client, that media is made accessible to the Client and any recipients of share links created by the Client.
  • Service providers: We use trusted third-party providers to operate our infrastructure, including Cloudflare for hosting, storage, and content delivery; Resend for email and Twilio for SMS notifications; Stripe, our payment processor, for billing; and Google, whose Google Forms service delivers our website enquiry forms — a contact form submission sends Google the name, email address, subject, and message you entered, and a demo request sends your email address. These providers are bound by contractual obligations to protect your data. Sonogram media and Client account data are never sent to Google.
  • Legal requirements: We may disclose information if required by law, regulation, legal process, or enforceable governmental request.
  • Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

Media Storage and Retention

Sonogram images and videos are stored on Cloudflare infrastructure with encryption at rest and in transit. Media retention periods depend on the Studio's subscription plan:

  • Starter plan: 6-month active retention
  • Growth plan: 24-month active retention
  • Pro plan: 36-month active retention

These windows are the maximum period we commit to keeping Media in full resolution — they are a policy ceiling, not an automatic deletion schedule. Media that has aged past its window may be removed to keep a Studio within its plan's limits; where we do so, we will provide notice and an opportunity to export first, as described in Section 7 of our Terms of Service. Media past its retention window is not guaranteed to have been deleted, so if you need specific Media erased you should not rely on expiry alone.

Studios can delete Media themselves at any time from the studio dashboard, and Studios and Clients may request deletion of specific Media at any time by contacting us. We encourage Studios and Clients to download and keep their own copies of important Media.

Data Security

We implement administrative, technical, and organizational safeguards to protect your information, including:

  • Encryption at rest and in transit (TLS/SSL)
  • Role-based access controls — Clients see only their own media, Studios see only their own clients
  • Audit logging of media access events (session opens, image views, downloads, and video playback)
  • Secure authentication via phone OTP and email magic links
  • Regular security reviews and infrastructure monitoring

No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information, including:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request correction of inaccurate or incomplete information.
  • Deletion: Request deletion of your personal information and associated media.
  • Portability: Request a copy of your data in a portable format.
  • Opt-out: Unsubscribe from non-essential communications at any time.

Children's Privacy

The Services are not directed to children under 13. Sonogram media uploaded to the platform depicts prenatal imagery and is managed by the parent or legal guardian. We do not knowingly collect personal information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected by updating the "Last updated" date at the top of this page. Continued use of the Services after changes are posted constitutes acceptance of the updated policy. We will notify Studios and Clients of material changes via email.
